📋 Key Responsibilities

📌 Guest Service (Your Top Priority!)

  1. Greet guests with a warm, professional welcome
  2. Process smooth check-ins/check-outs (target: under 3 minutes)
  3. Answer guest questions about rooms, amenities, and local areas
  4. Handle simple requests (extra towels, wake-up calls, taxi bookings)
  5. Escalate complex issues to supervisors when needed
  6. Remember repeat guests’ names when possible
  7. Give personalized recommendations for restaurants/attractions
  8. Thank every guest by name at checkout
  9. Keep the lobby area tidy and welcoming
  10. Smile even during busy times!

💻 Front Desk Operations

  1. Use the Property Management System (PMS) to book rooms
  2. Print and organize key cards correctly
  3. Update room statuses (clean/dirty/out of service)
  4. Handle walk-in reservations efficiently
  5. Process group check-ins with guidance from supervisors
  6. Manage late check-outs & early arrivals politely
  7. Verify guest IDs and payment methods securely
  8. Follow cash handling procedures exactly
  9. Keep the front desk supplies stocked (pens, key cards, etc.)
  10. File registration cards properly

💰 Payments & Billing

  1. Process credit card payments securely
  2. Explain room charges clearly to guests
  3. Handle cash transactions accurately
  4. Post incidental charges (mini-bar, damages) correctly
  5. Assist with foreign currency exchange (if applicable)
  6. Print folios for guests at checkout
  7. Report billing issues to accounting

🛎️ Team Support

  1. Help bell staff during busy arrivals
  2. Relay housekeeping requests promptly
  3. Update maintenance issues in the logbook
  4. Cover short breaks for colleagues
  5. Attend daily team briefings
  6. Share guest feedback with supervisors

📱 Technology & Systems

  1. Learn basic PMS functions (check-in, check-out, reports)
  2. Troubleshoot printer/key card issues
  3. Use the hotel phone system professionally
  4. Follow PCI compliance rules for payments

🆘 Safety & Security

  1. Keep guest information confidential
  2. Follow emergency procedures (fire, medical, etc.)
  3. Monitor lobby security and report concerns
  4. Secure valuables in safety deposit boxes

📝 Administrative Tasks

  1. File registration cards daily
  2. Update guest history notes in PMS
  3. Complete shift checklists thoroughly
  4. Pass on important notes to the next shift
