- Greet guests with a warm, professional welcome
- Process smooth check-ins/check-outs (target: under 3 minutes)
- Answer guest questions about rooms, amenities, and local areas
- Handle simple requests (extra towels, wake-up calls, taxi bookings)
- Escalate complex issues to supervisors when needed
- Remember repeat guests’ names when possible
- Give personalized recommendations for restaurants/attractions
- Thank every guest by name at checkout
- Keep the lobby area tidy and welcoming
- Smile even during busy times!
💻 Front Desk Operations
- Use the Property Management System (PMS) to book rooms
- Print and organize key cards correctly
- Update room statuses (clean/dirty/out of service)
- Handle walk-in reservations efficiently
- Process group check-ins with guidance from supervisors
- Manage late check-outs & early arrivals politely
- Verify guest IDs and payment methods securely
- Follow cash handling procedures exactly
- Keep the front desk supplies stocked (pens, key cards, etc.)
- File registration cards properly
💰 Payments & Billing
- Process credit card payments securely
- Explain room charges clearly to guests
- Handle cash transactions accurately
- Post incidental charges (mini-bar, damages) correctly
- Assist with foreign currency exchange (if applicable)
- Print folios for guests at checkout
- Report billing issues to accounting
🛎️ Team Support
- Help bell staff during busy arrivals
- Relay housekeeping requests promptly
- Update maintenance issues in the logbook
- Cover short breaks for colleagues
- Attend daily team briefings
- Share guest feedback with supervisors
📱 Technology & Systems
- Learn basic PMS functions (check-in, check-out, reports)
- Troubleshoot printer/key card issues
- Use the hotel phone system professionally
- Follow PCI compliance rules for payments
🆘 Safety & Security
- Keep guest information confidential
- Follow emergency procedures (fire, medical, etc.)
- Monitor lobby security and report concerns
- Secure valuables in safety deposit boxes
📝 Administrative Tasks
- File registration cards daily
- Update guest history notes in PMS
- Complete shift checklists thoroughly
- Pass on important notes to the next shift
