1. Leadership & Team Development

  1. Serve as second-in-command to the Front Office Manager
  2. Lead daily pre-shift meetings to align the team
  3. Mentor and coach front desk agents, supervisors, and concierge staff
  4. Conduct monthly one-on-one development sessions with team members
  5. Implement recognition programs to boost morale and retention
  6. Oversee 90-day training plans for all new hires
  7. Develop cross-training programs between front desk, night audit, and concierge
  8. Manage progressive discipline when performance issues arise
  9. Maintain departmental communication boards with key updates
  10. Champion the hotel’s service culture and core values

2. Guest Experience Excellence

  1. Personally handle VIP arrivals and departures
  2. Resolve escalated guest complaints within 30 minutes
  3. Implement surprise and delight initiatives for repeat guests
  4. Conduct daily quality checks on lobby/check-in experience
  5. Monitor and respond to real-time guest feedback (via surveys/digital platforms)
  6. Develop service recovery protocols for common issues
  7. Oversee guest recognition programs (birthdays, anniversaries, etc.)
  8. Maintain preferred guest profiles in the PMS system
  9. Lead monthly mystery shopper debriefs
  10. Analyze online review trends to identify improvement areas

3. Operational Management

  1. Oversee daily room inventory management
  2. Manage overbooking situations with revenue team
  3. Audit group block arrangements before arrival
  4. Ensure accurate room status updates between departments
  5. Monitor key control procedures and security protocols
  6. Supervise night audit process and report reconciliation
  7. Maintain emergency preparedness plans (fire, medical, security)
  8. Implement contactless check-in/check-out options
  9. Oversee lobby ambassador program during peak hours
  10. Manage front office equipment maintenance (PMS, key machines, etc.)

4. Financial & Revenue Responsibilities

  1. Assist with front office budget preparation
  2. Monitor and control labor costs and overtime
  3. Conduct weekly upsell training sessions
  4. Audit cashier banks and petty cash weekly
  5. Review daily revenue reports for accuracy
  6. Identify ancillary revenue opportunities (transfers, tours, amenities)
  7. Manage complimentary room approvals
  8. Oversee third-party billing reconciliations
  9. Analyze RevPAR penetration reports
  10. Implement waste reduction initiatives (printing, supplies)

5. Technology & Innovation

  1. Serve as PMS super-user (Opera, Fidelio, etc.)
  2. Test and implement new front office technologies
  3. Troubleshoot system outages and downtimes
  4. Maintain digital check-in/check-out kiosks
  5. Oversee guest messaging platforms (WhatsApp, SMS, etc.)

6. Administrative Duties

  1. Prepare weekly staffing schedules
  2. Complete monthly inventory counts
  3. Maintain training documentation
  4. Submit capital expenditure requests
  5. Attend weekly head of department meetings

Who We’re Looking For

✔ 3+ years in front office supervisory/management roles
✔ Bachelor’s degree in Hospitality Management (preferred)
